We have a fantastic opportunity for a Coordinator - Planned Maintenance and Compliance.

The role will coordinate all planned and reactive works and ensure efficient and cost-effective delivery across the workplace estate. Accountable for ensuring statutory compliance obligations are met, evidenced and reported.

Job Purpose:

Within broad direction set by Service Delivery Manager, this role will use judgement and expertise to make decisions on statutory compliance activities and reactive works for the workplace estate ensuring 100% compliance. The role will coordinate with workplace team and Service Delivery Manager to ensure consistent approach and service delivery across the workplace estate.

  • Provide a customer focused support function at Sovereign House for all workplace related issues.
  • Accountable for the use of SNG's computer aided facilities management (CAFM) system to triage and assign all reactive and planned tasks, ensuring customers are regularly updated.
  • Review contractor worksheets and identifies remedial actions / activities, raising jobs and instructing internal and 3rd part resources.
  • Monitor and report on SLAs, escalating performance issues to Service Delivery Manager.
  • Trend analysis for asset management, identifying life-cycling and capex requirements.
  • Own SFG20 planned maintenance programme, ensuring statutory and best practice maintenance is built and kept up to date and is reflected in C365.
  • Accountable for compliance activities – planned and reactive, ensuring supporting documentation is evidenced identifying any remedial actions required.
  • Coordinate the sourcing of risk assessment method statement (RAMS) for all planned and reactive maintenance works.
  • Responsible for producing a suite of reports for performance management including SLAs and escalating performance issues.
  • Always maintains confidentiality in relation to business sensitive, personal and secure information gained through work.

Knowledge and Skills:

  • Strong background in Facilities Management.
  • Clear understanding of CAFM systems management and workflows.
  • Strong understanding of statutory compliance within Facilities Management.
  • Excellent IT skills with ability to present complex reports and manipulate data.
  • Clear, confident communicator with the ability to communicate effectively.
  • Team player with an enthusiastic, customer-focussed attitude and pro-active approach.
  • Self-motivated and creative with the ability to manage and prioritise workload effectively.
